 Identifying a need for better performance management practices

Over the past 33 years, Careica Health has established itself as western Canada’s leader in respiratory care. They focus on creating innovative respiratory care programs that support sufferers of sleep-disordered breathing and respiratory disease.

In 2017, Careica identified a need to move away from their existing performance management practices. Whilst they did carry out regular one-to-one’s, set objectives, and conduct appraisals, these were paper-based and not conducted in a consistent way. This led to issues with accountability and tracking performance; highlighted when a discipline problem arose, but there was no data to capture what had happened.

Sharon Flood, Director of Human Resources and People Development at Careica, initially started searching for a tool to help with one-to-one’s but when she came across the Actus System it jumped out at her as being the most comprehensive. She reflect: ‘I was only looking to record one-to-one’s but when I came across Actus Software I realised that it manages objectives, mid and end-year reviews, and it brilliantly pulls everything together.’ This additional functionality made it an easy decision for Sharon to select Actus to help manage better performance management practices at Careica.

Performance Management that grows with the business

Careica began using Actus Software in May 2017 and the system was quick to address the immediate needs of the business. As the system has evolved so has Careica’s use of it. For example, the recognition tool is now widely used and helps employees to share their values with each other and emphasise the core values of the organisation too.

Use of the Actus 360 Feedback Tool

Since the start of their journey with Actus, the health care provider has gone on to acquire two other companies, thereby doubling in size. The building of new teams and new relationships led to a desire to use the Actus 360 Feedback Tool to gain insight into the dynamics of different staff and their teams. They have now carried out 360 feedbacks for their Senior Leadership Team, Directors, and CEO, with plans to use the tool again in the future.

Sharon comments on the 360 Feedback functionality: ‘The 360 Feedback tool is brilliant! It is so customisable and the reports are excellent. It really allows you to see at a glance how close you are in your thinking with your peers and direct reports and to make sure everyone is aligned and learns from the process’.

Looking forward to the journey ahead

Careica are really seeing the benefits of using the Actus system, which has helped to address the immediate needs of the business. One example of this is the use of one-to-one meetings which are now being held in a much more disciplined manner. They are being recorded well which gives great insight into how the managers are working and who might need support.

Although based over in Canada, Sharon believes that the time difference has actually worked in their favour, as any queries raised with the Support Team are promptly dealt with before they start work for the day. She looks forward to continuing to work closely with the Actus Team as the system evolves with the needs of the business.
